1. Our Privacy Commitment

Carbonless does not sell, rent, or trade personal information for money.

Carbonless does not provide your contact information, private communications, AI interactions, or customer records to unrelated parties for their independent marketing.

We disclose personal information only when reasonably necessary to:

  • Operate Carbonless and provide requested services;

  • Process transactions;

  • Maintain our website, CRM, communications, advertising, and technology;

  • Connect you with an independent consultant or professional you have requested;

  • Protect Carbonless, our users, or the public;

Service providers that operate technology for Carbonless may process limited information on our behalf. These providers may include CRM, website-hosting, cloud-storage, payment, email, texting, telephone, AI, analytics, security, and advertising providers.

We do not authorize these providers to use Carbonless customer information for unrelated independent marketing.

AI systems may analyze or summarize communications, identify the general subject of an inquiry, suggest responses, route a request, schedule an appointment, answer common questions, or help a Carbonless representative understand prior interactions.

AI systems can make mistakes. Do not treat an AI-generated statement as architectural, engineering, contracting, code-compliance, safety, legal, or other professional advice.

You may request human assistance where reasonably available.

Carbonless does not intend to use solely automated processing to make decisions that produce legal or similarly significant effects concerning an individual.

6. Calls, Recordings, Transcripts, and AI Voices

Carbonless may use human representatives, automated systems, or AI-generated voices for inbound and outbound telephone communications.

A call may be recorded, monitored, transcribed, or summarized for purposes including:

  • Responding to your inquiry;

  • Documenting your request;

  • Scheduling;

  • Quality assurance;

  • Training;

  • Customer support;

  • Fraud prevention; and

  • Improving Carbonless services.

Where applicable law requires notice or consent, Carbonless will provide notice and seek the required consent.

If you do not wish to continue a recorded or AI-assisted call, you may end the call and contact support@carbonless.org through another available method.

7. Telephone, Text, and Email Consent

Carbonless will use telephone numbers, text messaging, and email addresses in accordance with the consent associated with their collection.

When you request a response, appointment, order update, consultant connection, or support, we may contact you concerning that request.

Marketing communications will be sent only when permitted by applicable law and the consent you provide.

Consent to receive promotional calls or texts is not a condition of purchasing a product or service.

You may withdraw marketing consent at any time:

  • Reply STOP to a marketing text;

  • Use the unsubscribe link in a marketing email;

  • Tell a caller that you do not wish to receive further marketing calls; or

  • Contact support@carbonless.org.

Message and data rates may apply. Opting out of marketing does not prevent necessary transactional, security, legal, account, or customer-service communications.

Carbonless does not give unrelated advertisers your private communications or customer contact list for their independent marketing.

Carbonless does not knowingly use personal information from minors for targeted advertising.

Independent Consultants and Requested Professionals

When you specifically request a referral, introduction, consultation, estimate, or professional service, Carbonless may provide relevant contact and project information to the consultant, builder, contractor, or other professional needed to respond.

We will limit the disclosure to information reasonably associated with your request.

Independent consultants are separate businesses. Once your information is provided to a consultant at your request, that consultant’s independent privacy practices may also apply.

Carbonless is not responsible for a consultant’s independent collection or use of information after the referral. Review the consultant’s agreement and privacy practices before providing additional sensitive information.

Legal, Safety, and Security Disclosures

We may disclose information when reasonably necessary to:

  • Comply with a subpoena, court order, regulation, or other legal obligation;

  • Respond to a lawful government request;

  • Detect or investigate fraud, hacking, threats, or abuse;

  • Protect the safety or rights of Carbonless, a visitor, a consultant, or another person;

  • Enforce our agreements; or

  • Establish, exercise, or defend a legal claim.

Organizational Transactions

If Carbonless undergoes a merger, restructuring, consolidation, asset transfer, dissolution, or similar nonprofit transaction, relevant records may be transferred to a lawful successor subject to appropriate privacy protections and applicable law.

With Your Direction or Consent

We may disclose information for another purpose when you direct us to do so or provide informed consent.

11. What We Do Not Do

Carbonless does not:

  • Sell personal information for money;

  • Rent customer lists;

  • Trade contact information;

  • Provide private AI conversations to unrelated marketers;

  • Permit independent consultants to access the entire Carbonless customer database merely because they appear in a directory;

  • Knowingly collect personal information from children for marketing;

  • Require marketing consent as a condition of purchasing a product; or

  • Ask visitors to provide Social Security numbers, government identification numbers, medical records, or complete financial-account credentials through ordinary forms or AI chat.

12. Information Concerning Minors

Carbonless.org is intended primarily for adults interested in building science, building performance, construction, renovation, sustainability, and related education.

Although educational content may be appropriate for a mature younger learner, Carbonless does not knowingly request, collect, maintain, or process personal information from children or minors through its marketing, purchasing, CRM, AI, calling, texting, account, or referral systems.

People under 18 should not independently:

  • Purchase products;

  • Create accounts;

  • Submit forms;

  • Request consultations;

  • Subscribe to marketing;

  • Use AI chat;

  • Participate in AI calls or text messaging; or

  • Provide personal information to Carbonless.

An adult may purchase educational materials and distribute or present those materials to a minor under the adult’s supervision and at the adult’s discretion.

Carbonless.org is not directed to children under 13. If we learn that we have collected personal information directly from a child under 13 without legally sufficient parental authorization, we will take reasonable steps to delete it.

A parent or legal guardian who believes a minor has provided information should contact support@carbonless.org.

13. Sensitive Information

Do not submit the following through general forms, website chat, AI chat, text messages, or social media:

  • Social Security numbers;

  • Passport or government-identification numbers;

  • Bank-account credentials;

  • Complete payment-card numbers;

  • Medical or health records;

  • Information concerning a child;

  • Passwords;

  • Trade secrets;

  • Attorney-client privileged material; or

  • Other highly sensitive information not necessary for your request.

If project photographs or documents reveal personal information, remove unnecessary information before submitting them.

14. Data Retention

Carbonless retains information only for as long as reasonably necessary for the purposes described in this Policy, including:

  • Delivering purchased products;

  • Maintaining an active account or membership;

  • Responding to requests;

  • Managing communications and consent;

  • Maintaining transactional and nonprofit records;

  • Preventing fraud and abuse;

  • Resolving disputes;

  • Enforcing agreements; and

  • Meeting legal, tax, accounting, and regulatory requirements.

Retention periods differ depending on the type of information, the relationship involved, applicable law, and operational requirements.

When information is no longer reasonably needed, Carbonless may delete, anonymize, aggregate, or securely archive it as appropriate.

Backups and legal records may remain for a limited period after deletion from active systems.

15. Data Security

Carbonless uses reasonable administrative, technical, and organizational measures intended to protect personal information against unauthorized access, alteration, loss, misuse, or disclosure.

These measures may include:

  • Access controls;

  • Account authentication;

  • Role-based permissions;

  • Encryption provided by service platforms;

  • Vendor management;

  • System monitoring;

  • Backups;

  • Employee or contractor confidentiality requirements; and

  • Incident-response procedures.

No website, transmission method, cloud platform, or storage system is completely secure. Carbonless cannot guarantee absolute security.

You are responsible for protecting your account password and notifying us promptly of suspected unauthorized activity.

16. Your Privacy Choices and Rights

Depending on your location and applicable law, you may have the right to:

  • Confirm whether Carbonless processes your personal information;

  • Access categories or copies of personal information;

  • Correct inaccurate personal information;

  • Request deletion;

  • Opt out of certain significant automated profiling;

Carbonless does not sell personal information for money. We will nevertheless process applicable opt-out requests concerning targeted advertising or legally defined “sharing.”

Describe the right you wish to exercise and provide sufficient information for us to locate and verify the relevant records.

We may need to verify your identity before completing a request. We will use verification information only for that purpose.

Certain information may be retained or excluded from a request when necessary to:

  • Complete a transaction;

  • Protect security;

  • Prevent fraud;

  • Maintain legal or tax records;

  • Exercise legal rights;

  • Comply with law; or

  • Protect another person’s privacy.

Carbonless is based in the United States. Information may be processed and stored in the United States or other locations where our service providers operate.

Privacy laws in those locations may differ from those in your country.

Where applicable law requires additional safeguards, rights, or transfer mechanisms, Carbonless will take reasonable steps to address those requirements.
